IT Onboarding
We have put together a list of software you will need when you start at PAA. Each of the items below will help you prepare for your first day.
Software
Microsoft Outlook
About.
Email and Calendar. Microsoft Outlook is our secure email and calendar software. Microsoft Outlook allows you to be productive, organized, and connected with those internally at PAA, as well as with those outside of our organization.
HIPAA.
No Emailing PHI. Per HIPAA guidelines, to apply the “appropriate administrative, technical, and physical safeguards to protect the privacy of protected health information (PHI),” it is our corporate policy that no PHI is transmitted over email.
Communications.
Corporate Email Only – No Personal Email Addresses. All communications regarding Providence Anesthesiology Associates should be sent (and received from those at PAA) from your corporate email address (@provanesthesiology.com) only versus a personal email address. Doing so allows for greater administrative control and poses less risk and liability to the company.
Microsoft 365 Groups. Your email is automatically added to Microsoft 365 groups based off attributes associated with your Microsoft 365 contact card, such as your title, department, and location, for collaboration and access to resources.
Security.
Multi-factor authentication. Multi-factor authentication is a process in which you will be prompted during the sign-in process for an additional form of identification, such as a code on your cellphone. This is an enforced setting on your account to protect your identity and data. You are allowed to remember multi-factor authentication on devices you trust for 30 days. After 30 days, you are required to reauthenticate.
Threat policies. Your email has anti-phishing, anti-spam, anti-malware, safe attachment, and safe link policies applied to protect your account from threats.

Google Drive Enterprise
About.
Cloud Storage. Google Drive, part of Google Workspace, is our secure online file-sharing, storage, and collaborative software.
HIPAA.
Business Associate Agreement Signed. Providence Anesthesiology Associates has Business Associate Agreement signed with Google which establishes a legally binding relationship to ensure complete protection of PHI.
File Sharing and Storage Use.
With Drive, you can:
- Safely store and access your files anywhere
- Quickly access recent and important files
- Search for files by name and content
- Share files and folders
- View your content on the go while offline
Google Groups. Your account is added to Google groups based off your title, department, and location. These groups then have access to the Shared Drives you will need access to for accessing resources.
Security.
2-Step Verification. 2-Step Verification puts an extra barrier between our company and cybercriminals who try to steal usernames and passwords to access business data. 2-Step Verification is enforced to protect your identity and data.
Download Disabled. To protect confidential data and PHI, the ability to download, print, and copy files is disabled among most files.
TigerConnect
About.
Secure Healthcare Messaging. TigerConnect (formerly TigerText) is our HIPAA compliant text messaging system. TigerConnect is a communication and collaboration platform that streamlines workflows by delivering actionable real-time, clinical data at the point of care to provide positive outcomes for patients and greater productivity and profitability for healthcare organizations.
HIPAA.
Business Associate Agreement Signed. Providence Anesthesiology Associates has Business Associate Agreement signed with TigerConnect which establishes a legally binding relationship to ensure complete protection of PHI. We are backed by a $1 million dollar guarantee against HIPAA breaches.
Communications.
TigerConnect Groups. Your account is added to TigerConnect groups based off the facilities you will be practicing.
Security.
Encrypted messaging. HIPAA compliant and HITRUST-certified, TigerConnect is encrypted to industry standards to ensure sensitive patient information remains safe and secure.
Conversation Lifespan. To limit the risk of breaches, messages will automatically and permanently delete after 30 days.
Device-Level Protections. Fingerprint and face ID capable to further protect access to the app and sensitive patient information.
Mobile PIN Locks. Enforced PIN lock set with timeout set to require immediately.
Remote User Lockout. With just a few clicks, remote lockout is capable to protect again lost or stolen devices.
PAA App
About.
Reference App. The PAA Mobile App is our customized in-house mobile application. The PAA Mobile App provides access to clinical resources.

With The PAA Mobile App, you can access:
- Providence Anesthesiology Associates Quality System (PAAQS) resources for quality reporting. For specific information regarding this system, please contact our Director of Clinical and Quality Outcomes.
- Crisis Checklists
- Enhanced Recovery After Surgery (ERAS) Protocols
- LongLives Pathways documents
- Surgeon Preferences
- PAA Global Directory where you can tap to call or email
Security.
Authentication Required. Email verification is required to access the PAA Mobile App to prevent unauthorized users from viewing content within the app.
Device-Level Protections. Fingerprint and face ID capable to further protect access to the app and sensitive patient information.

Zendesk Support
About.
IT Support. ZenDesk Support is our IT support ticketing system software. ZenDesk allows for the centralizing of all IT support requests into one place to allow the IT team more quickly and efficiently help you by distributing tickets amongst the team.
Forms.
- IT Support. This form is for break-fix only, such as a password reset or software issue. This is not to be used to request access to software or hardware.
- General Questions. This form is for general technical questions that do not have a space on any form on ZenDesk. For example, “What software does PAA use for audio-video calls?”
- Access Request. This form is for access to login-enabled software or platform that PAA IT has management over. For example, access to receive an account to software that was not a part of your onboarding.
- Hardware Request. This form is for PAA-issued hardware or equipment, such as mouse or laptop, supplemented with justification.
- Project Request. This form is for submitting technical projects which requires work over a period. For example, requesting to evaluate other telecom vendors.
