Email and Calendar. Microsoft Outlook is our secure email and calendar software. Microsoft Outlook allows you to be productive, organized, and connected with those internally at PAA, as well as with those outside of our organization.
HIPAA.
No Emailing PHI. Per HIPAA guidelines, to apply the “appropriate administrative, technical, and physical safeguards to protect the privacy of protected health information (PHI),” it is our corporate policy that no PHI is transmitted over email.
Communications.
Corporate Email Only – No Personal Email Addresses. All communications regarding Providence Anesthesiology Associates should be sent (and received from those at PAA) from your corporate email address (@provanesthesiology.com) only versus a personal email address. Doing so allows for greater administrative control and poses less risk and liability to the company.
Microsoft 365 Groups. Your email is automatically added to Microsoft 365 groups based off attributes associated with your Microsoft 365 contact card, such as your title, department, and location, for collaboration and access to resources.
Security.
Multi-factor authentication. Multi-factor authentication is a process in which you will be prompted during the sign-in process for an additional form of identification, such as a code on your cellphone. This is an enforced setting on your account to protect your identity and data. You are allowed to remember multi-factor authentication on devices you trust for 30 days. After 30 days, you are required to reauthenticate.
Threat policies. Your email has anti-phishing, anti-spam, anti-malware, safe attachment, and safe link policies applied to protect your account from threats.
